ICA Terms and Conditions for Scheduled Events
The following terms and conditions apply to all persons registering and/or attending trainings, workshops, conferences and all other events scheduled as per the ICA Annual Calendar or other publicity channels.
- Applications and/or registration for ICA events and membership services are done by the applicant, or may be done by a third party with the applicant’s consent (e.g. employer-initiated registrations)
- Once registered for any of the scheduled events, every participant shall confirm their attendance or otherwise at least seven days before the actual date. Where registration is done less than seven days before the due date, the applicant shall contact ICA by way of email to confirm his/her reservation.
- All the requisite participation fees shall be paid in full at least five days to the event date. All payments shall be made through the banking details indicated on the invitation letter, or through the mobile money information available on our website and publicity materials. Any payment made outside the provided channels shall not be considered not received. Local Service Orders (LSOs) and Bank Cheques may be accepted only where prior approved arrangements with the Institute exist.
- In the unlikely event that a scheduled training is cancelled or postponed due to unavoidable circumstances, including quorum hitches, all confirmed participants will be notified of the same at least four days to the rescheduled event.
- Where an event is rescheduled as envisaged in (4) above, the affected participants will be advised to make new reservations for similar trainings coming up during the next available dates as per the annual calendar. This may include reservations for events other than the ones initially registered for and the same shall not attract additional charges whatsoever.
- Where a participant affected by the rescheduling of a scheduled event so wishes to get a refund for all payments already made, the participants will be expected to submit a refund request form which can be downloaded. The form shall be filled and submitted to ICA through this email address info@ica.ke within 30 days from the rescheduled events date.
- In the unlikely event that there is a change of venue within the respective training location, participants will be notified at least three days to the event through the contact information provided during registration.
- Should any participant be unable, for any reason, to attend an event which he/she has registered and paid for, he/she should inform ICA at least five days before the event date. Should ICA not be informed within the said timeline, there shall be no refund except for unfortunate situations touching on health and safety of the participant where the necessary evidence must be produced in support for the application for refund.
- Registered participants are expected to attend and participate in all the lesson activities indicated in the event program. Certificates will be issued to the participant based on full attendance.
- The names to appear on the participants certificates shall be those indicated at the time of training registration, and verified on site at the first day of the event. Any changes in names after the certificates have been produced will be charged at Ksh. 500 for each correction.
- All information submitted by applicants before, during and after ICA events shall be held in accordance with the existing laws, and may only be shared with third parties with the consent of the participant.
- Personal images captured during the event, except for images comprising of the whole group of participants, shall not be shared or published in any of the ICA information channels.
- All participants will be expected to engage and interact with rest of participants and facilitators while maintaining the highest levels of respect and decorum in both action and speech.
- Participants will be individually responsible for their health, safety and wellbeing while attending and participating in our events. ICA will not be liable for any consequences relating to the acts of omission or commission on the part of any participant.
- ICA reserves the right to update these terms and conditions at any time and without prior notice. Any such amendments will only be for the effective management of our events, and will be made within the context of all the applicable laws of Kenya.
